HCP Injection Licensing

The Challenge

A client needed to ensure appropriate local medical licensing to enable internationally renowned faculty to demonstrate injection techniques to US HCPs at meetings in the United States and Canada.

In the United States and Canada, injection training on live models can only be performed by physicians licensed in the state or province in which the training is taking place. As each state/province has its own licensure requirements, there is no standard format for securing licenses for physicians.

Each regional licensure process includes a lengthy review period, with little transparency or access to accurate information. In most cases, the deadline for submitting documents/receiving approvals is about 4 months in advance of the scheduled event, very close to the deadlines of the client’s project approvals, making the licensure process the first priority.

The ERS Solution

ERS created a compliance-approved approach to secure temporary medical licenses and insurance from appropriate state (United States) or provincial (Canada) medical licensing authorities.

We were in frequent contact with each physician or a designated administrator in their office to secure the necessary documentation and to ensure all forms were completed punctually and accurately. We reviewed documents from the HCPs, often having to request revised files to meet submission guidelines; collated all required documentation; forwarded bundled materials to the licensing authorities; and maintained consistent communication to serve as a liaison between the HCPs and licensing authorities.

In the United States, each state medical board where injection trainings were going to take place needed to be contacted individually in order to determine licensing requirements. Next, ERS would collect detailed information from the overseas physicians, completing the paperwork requirements from the state (including any potential revisions needed to the documents written by physicians who were non-native English language speakers), ensuring all necessary documents were notarized, and adhering to deadlines and submission guidelines.

In Canada, the same procedures were followed for each province with the added step that physicians needed temporary medical insurance before they could participate in the injection-technique training. ERS enrolled each physician, collected all necessary paperwork from the physician, guided the physician to complete the forms and provide signatures, submitted the documentation to the insurance provider, and followed up to ensure the approval of the insurance. Once insurance was secured, that information was included in the packet of information sent to the provincial medical board, along with all other required paperwork.

ERS remained involved in the entire process, confirming the approval of the physician and answering questions about next steps.

The Result

Over the course of 20+ meetings, all HCPs were able to participate in the live injection seminars. Based on flawless and timely execution ensuring the success of these trainings, ERS is now the preferred agency tasked with providing licensing and insurance for live injection programs for international HCPs coming to the United States, as well as for US HCPs injecting in foreign countries.
